Administration Policies and Procedures

This is a preliminary document containing proposals for the operation of VuFind's administrative group. These will be made official policies after discussion on the VuFind mailing lists.

Group Composition

The VuFind Administrator group will be made up of seven people, with the following restrictions:

  • Only one individual per institution
  • Each member must be an active committer or an active member of the mailing lists
  • Each member must agree to a one year commitment
  • Seats are voted upon on a yearly basis allowing for new members to participate

Group Mission

The purpose of the administrator group is to have a well-defined decision-making body to keep VuFind development moving. It is NOT intended to exclude anyone from the planning or development process. All will be welcome to contribute to discussions of administrative matters, and a public mailing list will be used as the forum for administrative decision-making. The role of the administrators is to listen to everyone's input and, when necessary, vote on the best course forward.

Voting Procedure: Administrative Decision-Making

When a decision is put to a vote, the decision will be finalized when either:

(a) All seven administrators have voted.

or

(b) A week has passed, at least four votes have been received, and there is a clear majority (by two votes or more).

If no majority decision is reached after a week, the issue should be returned to discussion, reframed if necessary, and put to another vote.

Voting Procedure: Electing Administrators

Voting is done through SourceForge's LimeSurvey feature. Voters may choose up to seven candidates. All votes are counted equally. The seven top vote recipients are named the admin group at the end of the voting period. In the case of a tie and no concessions, a run-off may be held.
